If you are a journalist

We hold the professional contact details of journalists and media contacts so we can send relevant stories and information. We collect these from publicly available sources (such as publications, websites and professional social media), from media databases, and from you directly.

We aim to contact you only about subjects relevant to your work. You can ask us at any time to stop contacting you or to delete your details by emailing hello@heracomms.com.

Who we share data with

We share personal data only where needed, with:

  • Service providers who support our business, such as Microsoft (email and file storage), our website host, and [any media database or other tools used]. They may only use the data to provide their service to us.
  • Clients, where this is part of the work we are doing for them, such as sharing media coverage or interview arrangements.
  • Professional advisers, such as accountants and lawyers.
  • Authorities, where the law requires it.

International transfers: our data is stored in the UK. If any of our service providers process data outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the ICO’s approved contract terms.

How long we keep data and how we protect it

We keep personal data only as long as we need it:

  • Enquiries: up to two years after our last contact, unless you become a client.
  • Client and supplier records: six years after the relationship ends, for legal and tax purposes.
  • Media contacts: while they remain relevant to our work. We review our lists at least once a year.
  • Research data: as set out when you take part.

We store data in secure, access-controlled business systems with multi-factor authentication. Access is limited to people who need it, and everyone working for HERA is bound by confidentiality obligations.
